General Conference Information

Attendee Profile

Over 300 attendees are expected at the annual RWISO Conference. They include practicing orthodontists who have graduated from or are currently enrolled in an approved Roth Williams course. Students currently enrolled in an orthodontic program are also welcome to participate.

The Hyatt Regency Boston is the headquarters hotel for the RWISO conference. The hotel is located in the center of the activity of the Financial, Theatre and Entertainment Districts. Minutes from Boston Common/Public Garden and Faneuil Hall. The Boston Convention and Exhibition Center is 1.1 miles away from the hotel where the AAO will be holding its annual meeting. The Hyatt is an official hotel of the AAO. Be sure to let the hotel know the days you will be staying with RWISO to ensure the RWISO rate.

All sessions and meetings will be held at the Hyatt Regency Boston. Hotel room reservations are done on your own directly through the hotel by calling the number above. Be sure to ask for the RWISO rate. Reservations can also be made online. Please visit the hotel information page for complete information on booking a hotel room.

RWISO was able to secure the following room rate:

Single/Double $220 per night
Triple $245 per night
Quadruple $270 per night

Reservation deadline is: Friday, April 17th. Reservations made after this date are based on hotel availability and could be at a higher rate.

Please Note: Due to our contract with the hotel, it is very important that all attendees with the RWISO conference stay at the Hyatt Regency Boston. RWISO can encounter penalties for not meeting its room block commitment. You are strongly encouraged to make your rooms reservations NOW!


Conference Registration

Registration for the RWISO conference is on-line or via a downloaded registration form. To register for the RWISO conference please go to www.rwiso.org. The conference fees cover scheduled meal functions, registration material, access to educational sessions, and exhibit area.

If you submit your registration form prior to March 20, 2009 you qualify for the Early Bird Rate. Forms submitted between March 21st and April 20th qualify for the Regular rate. After April 20th registrations are considered Walk-in. Please do not send any forms to the RWISO office after April 20th, as these will be processed at the on-site rate.

To qualify for the member rate you must be a member in good standing with RWISO. Please see more on Membership on Page 3. Non-members can purchase a membership if they so desire, but it is not required to attend the RWISO conference.

Individuals that would like to participate for a single day should register on-site at the RWISO registration desk. A daily registration fee will be available to those individuals only.

Meal Functions

Your conference registration includes the following scheduled meal functions: Breakfast, Lunch and Breaks Thursday - Saturday. Thursday night Welcome Reception and Saturday Gala. Breaks are divided into AM and PM breaks. All breaks will be held in the exhibitor area. All other meals are on your own.


Orthodontic Staff

This rate is available only to office staff. This rate does NOT include the daily lunch. Lunch is on your own.


Guests

Guests are those that have not previously attended an RWISO conference and are not currently enrolled in an approved Roth Williams Course. Guests are also friends or associates of a current RWISO member and are afforded the same rate as members. Guests must receive the special registration code given to each member and indicate what member has invited them to the meeting.


Students

The student rate is only available to those individuals that are enrolled as an orthodontic resident in a university. The student rate is not available for Orthodontists that are enrolled in a Roth Williams Course.


Companions

RWISO considers companions as spouses, significant others and families travelling with the conference attendee. Companions are welcome to participate in the welcome reception, Gala, and event night. Additional fees do apply. Companions are not allowed to attend any of the general meetings, meals, or educational sessions.

For 2009 there is a special registration rate available for companions. This registration includes breakfast all three days of the conference and the Welcome Reception. Gala, tours and the Harbor Cruise are sold separately.

Individual activities will be sold on-site at the RWISO registration desk.


Companion Tours

An optional companion program has been developed for those individuals that are traveling to Boston. It consists of one tour each day. Registration for these tours is done directly through Destination Partners, our contracted local tour company. There is an additional cost for each tour. Scheduled tours include:

  • Harvard University & JFK Library

Ground Travel Information

The Hyatt Regency Boston is approximately 4 miles from Logan International Airport (BOS). There are several options to get to/from the airport. Please visit the travel information page for more information.

Membership

Membership in RWISO is open to anyone who has graduated from an approved Roth Williams Course. Membership allows your certain benefits. Among them is a discounted registration fee to the Annual Conference. For more information on how to become an RWISO member, please visit www.rwiso.org.


Conference DVD's

Each of the speaker presentations will be recorded onto a DVD format in multiple languages. Conference DVD's are available for purchase in advance.


CE Credit

RWISO is an approved Continuing Education Provider through the Dental Board of California. RWISO will offer one unit of credit per hour of instruction. CE Credit form will be distributed at the conference.


Translators

We encourage speakers from all over the world to participate in our conference. Due to the multi-lingual environment that this creates, it is important that we have translation at our conferences. The majority of the sessions are given in English. However, each region does take responsibility for bringing their own translators to the conference. Translation is generally available in Spanish, Japanese, and Korean.


Policies

RWISO has certain policies regarding the conference. These policies are strictly adhered too.

  • Distribution of Literature
    No company is allowed to distribute their product and/or service literature for general consumption. The two exceptions to this are distribution in their exhibit space and/or as a benefit of their paid sponsorship.
  • Refunds, Cancellations, and No Shows
    An attendee can cancel their registration for a full refund up to April 1, 2009. All cancellations must be in writing and postmarked by that date. Any cancellation made after April 1st is subject to a $50 cancellation fee. No registration refunds or cancellations will be accepted after April 20, 2009 or for a conference No Show.
  • Individual Recording
    Recording presentations without speaker permission via any personal recording device is not allowed.

Destination Overview

Time Zone

Boston is within the GMT -5 hours time zone of Eastern Daylight Time. During the RWISO Conference, Boston will be observing Daylight Savings time and the clocks will be an hour ahead.

Climate

Spring is at its peak in New England from April until the middle of June. This time of year the temperature varies a good deal but typically offers mid 60 degree days followed by brisk evenings. A sweater and a jacket, in addition to lighter clothes, are recommended. Springtime can be a little damp in New England.


Table Clinic and Poster Contest

RWISO members have the opportunity to present a Table Clinic or Poster to be displayed during the conference. The winner of the best presentation will receive free conference registration at the 2010 annual meeting. In case of a tie, the free registration will be shared equally. Table Clinics and Posters will be displayed each day of the conference from 7:30am to 5:30pm. Individuals are responsible for transporting and set-up of their own display. Special Features

New Member Reception (Wednesday)
This is for new members of the RWISO association. Get to know the leaders of the organization and make some new friends prior to the start of the conference.

Welcome Reception (Thursday)
This reception is immediately following the end of the first day of sessions. It allows all attendees a chance to socialize and unwind before heading out to dinner on your own.

Event Night (Friday)
The greatest of all RWISO traditions. This year RWISO will take you on a spectacular Harbor Cruise.

We have reserved a private yacht for a three hour tour of the historic Boston Harbor. This is an optional activity and not included in the registration fee. Tickets are $125 per person and include: transportation to/from the yacht, three hour cruise and dinner. Be sure to register early, seating is limited.

Gala (Saturday)
This marks the official close of the RWISO conference. You'll want to coordinate your travel plans to ensure that you are there for the entire evening. The plans for the evening include a cocktail reception, wonderfully prepared dinner and dancing.

In part, thanks to their contributions, we are able to keep the cost of our conferences affordable for our attendees.
